Weekly Shift Schedule Maker: Build the Grid and Spot Gaps

Make a printable weekly shift schedule for a small team. Type each person's shifts, see weekly hours per person and get a warning for any half hour with too few people on duty. Runs in your browser.

Names and times stay in this browser. Nothing is uploaded or sent to a server, and nothing is saved when you close the page.

Your team

First names or initials are enough.

Coverage you need

Tick the days you are open. Use 24-hour times (17:30) or am/pm (5:30pm). Set people needed to 0 to skip the coverage check.

When to use this

  • You run a small team and want one printable page showing who works when.
  • You need at least a set number of people on duty during opening hours and want gaps pointed out.
  • You want each person's weekly hours, then a hand-off to the timesheet calculator.

How to use

  1. Type one name per line, then set opening time, closing time, people needed and the days you are open.
  2. Press Build the grid and type each shift, such as 9-17 or 9am-5pm. Add /30 for a 30 minute unpaid break. Leave days off empty.
  3. Press Check coverage. Read the schedule, the list of short periods and the hours per person.
  4. Print the page, copy the text or download a CSV. Use the link under the table to open one person's week in the Timesheet Hours Calculator.

Examples

Understanding the result

The schedule table repeats the shifts you typed, one row per person, with the week total after unpaid breaks. The coverage check looks at each half hour between opening and closing on the days you ticked and counts how many people are on shift. Any stretch with fewer people than you asked for is listed with how many are on duty.

Limitations

FAQ

How do I make a weekly shift schedule?

List your team, set the opening hours and how many people you need, then type a start and end time for each person and day. This tool lays out the grid, totals each person's hours and lists any period with too few people.

How does the coverage warning work?

For each half hour between opening and closing on the days you tick, it counts the people whose shifts include that half hour. If the count is below the number you need, the period is listed.

Which shift formats can I type?

9-17, 9:30-17:30, 9am-5pm, 09:00-17:00 and 22:00-06:00 all work. Add a slash and minutes for an unpaid break, such as 9-17/30.

Does this check overtime or labour law?

No. It only adds up what you type. Overtime and rest rules differ by country, state and contract, so check the rules that apply to you.

Can I see one person's weekly hours in more detail?

Yes. Under the schedule there is a link for each person that opens the Timesheet Hours Calculator with their shifts filled in.

Are the names I type stored or sent anywhere?

No. Everything is handled in your browser and is gone when you close the page, so print or copy the schedule first.
